From the event’s side

Thanks to Awabot’s telepresence robots, provided in collaboration with the Host Organization, Beneficiaries can explore backstage areas, meet performers or athletes when possible, and interact directly with event ambassadors in a very exclusive way.

Awabot experiences form allows associations, foundations, hospitals to express their interest and join a network as a “Partner Organization” with the goal of:

• gaining access to telepresence experiences offered by prestigious international sports and cultural organizations;

• nominating individuals from their communities (“Beneficiaries”) to give them the opportunity to participate in live events such as sports matches, concerts, cultural visits, or other unique experiences.

The following text sets out the mutual commitments between Awabot as the service provider and the Organizations wishing to participate in the Experiences offered through Awabot FanHub.

Host Organization and Awabot’s Commitments to Beneficiary Organization

As part of the Experiences, Host Organization and Awabot commits to:

• Clearly inform the Organization about the Experience’s details and participation requirements (date, time, eligibility criteria, rules, technical requirements, etc.);

• Ensure optimal conditions for a successful and engaging Experience;

• Respect the confidentiality of any personal information related to the Beneficiary;

• Supervise the telepresence robot connections with the presence of a dedicated team member or on-site guide.

Commitments of the beneficiary organization to host organization and Awabot

By participating in Experiences, the Beneficiary Organization commits to:

• Hold any necessary administrative authorizations to participate;

• Respect the essential rules for the smooth operation of the Experience;

• Only communicate about the Experience (orally, in writing, or on social media) with prior authorization from Awabot and the host organization;

• Propose Beneficiaries while adhering to the following conditions:

– Participants must meet the age and eligibility criteria specified for the Experience;

– The selection of Beneficiaries is at the Organization’s discretion, in compliance with this text;

– Provide Host Organization and Awabot with the necessary authorizations, including those related to the use of Beneficiaries’ images, signed by their legal guardians;

• Share with Host Organization and Awabot any relevant information that might impact the conditions for hosting Beneficiaries;

• Provide Host Organization and Awabot with the contact details of a reference person within the Beneficiary Organization or a legal guardian, who must be easily reachable, particularly on the day of the Experience;

• Inform Beneficiaries of their scheduled connection date and time;

• Notify Host Organization and Awabot immediately if a selected Beneficiary is unable to participate and, if possible, propose a replacement promptly;

• Allow Host Organization and Awabot to use Beneficiaries’ images for internal and external communication purposes, in accordance with the authorizations provided.
